National software company based in Red Deer, seeking a full-time Administrative Assistant. Reporting to the Office Administrator, the primary two focuses of this role are basic bookkeeping (50%) and administration (50%). You will be supporting an office of 25 including an existing Admin team of four. This role will also be involved in supporting other companies under common ownership and performing a variety of projects and assignments as required.
Our work environment is very fast paced with a high work volume. The successful candidate will be able to adapt quickly, takes pride in their accuracy, and loves to learn everyday.
Primary duties:
Basic bookkeeping:
Provide support to Bookkeeper primarily in accounts payable and accounts receivable
Issue invoices to clients with accuracy and in a timely manner
Prepare bank deposits and cheque runs weekly
Complete a high volume of credit card reconciliations monthly from multiple businesses
Administrative:
Answering multi business phone lines in a professional manner and directing calls as required
Research alternatives and details for varied company projects to assist in decision making
Facilitate implementation and monitoring of projects, requesting assistance when required
Manage a small inventory of labels, including maintaining, shipping and invoicing
Internal document proofing / editing
Taking minutes at monthly staff meeting and distributing, along with organizing staff lunch and events
Ensuring office supplies are maintained and the staff have what they need to perform at their best
Requirements:
Must have excellent customer service & phone skills, typing accuracy, and thrive in high paced, multi-company office environment
Laser sharp attention to detail
Ability to be flexible and shift quickly in case of changing priorities
Class 5 drivers license and personal vehicle
Experience with an accounting software
